In this assignment you will be required to plan, promote, organise and coordinate the proceedings of a work related conference. Below you will find two possible scenarios. Choose one of them for your task. Base your task on either Scenario 1 or Scenario 2. Scenario 1 You work for Healthy Lifestyle and have been selected to make the arrangements for your company's annual staff conference. The conference is to be held in the Hunter Valley, north of Sydney on the first weekend of September from Saturday to Monday. There will be 80 attendees. Scenario 2 Imagine you are employed by a large firm of your choice. You have been selected to make the arrangements for your company's annual staff conference. Each department will be making a presentation at the conference (marketing, human resources, sales and production etc). The conference is to be held in the Blue Mountains, for three days in the last week of March. There will be 160 attendees. Task When you have made a selection, complete each of the following practical activities based on the scenario you have chosen. What you have to do: a) Create a title and theme for your conference. 4 P0037775 - LA009691 Assignment 1, BSBADM503A Ed1 – P0038379 © State of New South Wales, Department of Education & Training 2008, Version 1, July 2008 b) Develop a project management chart (eg Gantt chart) listing tasks, responsibilities, timelines and resources. c) Develop a budget which has to be agreed to by management, include: calculate the expected cost of each task conference fees (if any) speakers fees (if any) produce a conference brochure. d) Itemise the conference arrangements, include: date, time, venue, furniture, room layout, equipment, consumables, catering, travel and accommodation. e) Create a conference program, include: timing of sessions, name of speakers, session names and locations, meals, social events. f) Develop a survey/evaluation tool such as a questionnaire g) Describe the registration procedures you will use: recording participant details, issuing name tags and information kits, answering participant queries, directing participants to session locations and conference facilities. h) Develop a contingency plan to manage unforseen difficulties alternative transport, accommodation, venues, speakers, catering, supplies, documentation and back up equipment. These completed activities form your portfolio of work for Assignment 1.
