Task 1: Collect and review policy and procedure documents 1. Write a brief description of your organisation. Outline the nature of the business, its design and structure, the strategic and operational goals and the organisational climate. (Is it a large or small employer? Do they have a separate HR department? What is their structure? Provide sizing data such as approx. $ turnover, number of employees, locations etc. Do they have ISO 9000 quality accreditation (or similar) quality control of their procedures? 2. Review and analyse the current Separation and Termination Policy by addressing the following points. a. Locate the Separation and Termination Policy and procedures for the organisation. (Attach a copy of the organisation's Separation and Termination Policy as Appendix 1 to your report). b. Locate supporting documentation for all forms of separation/termination. The types of suitable documents are listed below. You need to include at least 3 different types of document (Attach these as Appendix 2 to your report) labour turnover and replacement statistics kept by the organisation and details of how they are calculated, Any benchmarking of the company's performance in managing separation / termination termination forms / separation forms, retirement plans, labour forecasts and projections etc. documents that are used within the organisation to review its performances in actioning separation and termination procedures, including any regular systems review meetings, QA action reports or QA audits, complaints reviews, etc. documents or forms requiring an HR or Legal officer to approve a process or step of the process (ensuring compliance) prior to action. 3. This research should lead you to an understanding of how the organisation: Operates the planning and achievement of employee separation and termination events. Implements processes to develop and improve the quality of separation and termination events. Ensures compliance with relevant contracts, awards, agreements Acts and other statutory or legal requirements. 4. Critically analyse your research. Does the organisation's Separations and Terminations policy and procedures: include features of best practice systems of separation/termination and the associated legal requirements; Encourage and provide for consultation with relevant managers prior to the introduction of new procedures or systems Ensure respect for employees, provide strict confidentiality and comply with legislation Gather and use feedback to make refinements to policies, procedures and supporting documents for separation and termination i.e. a quality control mechanism. You are now ready to do Task 2 where you'll report on your research findings. Task 2 For this task 2 prepare a FORMAL REPORT to senior management. Use the format on the Report Writing Guide which you can find on the OLS (on the Course Overview page under Useful Resources). A guide to the word count is 1,500 words. Write a brief report of your findings of the research that you have completed in Task one and your recommendations for the development of possible improvements. The report should critically analyse the evidence that you have found in Task one, outline your evaluation and use this as the basis of putting forward recommendations for improvements. Your report also needs to include an implementation plan for any proposed changes which outlines: a. a communication strategy that identifies i. everyone who should be aware of the policy, ii. the communication methods used and iii. timeframe. b. a process to trial any new procedures and documentation that supports recommended changes c. methods to gain feedback from all the stakeholders involved in the separation and termination process
