Competency Task 6
Instructions: You will submit a copy of two workflow diagrams of
1. cataloguing and as it occurs in either a school, public, or academic library. This
may be handed in as a group activity where the group members are specified, or
as an individual effort. Try to keep your diagram to a page.
Checklist:
Identify the type of library.
Identify the staff who will be performing the activities you list. If you wish you can limit yourself
to the job of one particular type of staff member, for example Library Technicians.
Identify the type of material you have? Book? AV materials? Serials? You can choose to
catalogue just one type of material if you wish.
Which databases to search and you have access to? Where will you search for copy
cataloguing data?
How old is the material?
Which country does it emanate from?
How much detail is required? Full or abridged?
How urgent is the material for a client? Will you identify fast track issues for priority items
Make sure the flow diagram is logical and workable for the staff
You may incorporate the acquisitions process if you wish for gathering initial data for
cataloguing.
Make sure you include the classification process with DDC and Subject Headings as well.
Use the standard symbols for starting, decisions and draw lines between them.
Use the self-help task done in class for your basic data and as your starting point.
Hopefully you will just have to tidy it up a bit for your Competency Task.
Competency Task 7
Describe software or hardware for a Library Cataloguing System
Keep this task to no more than 2 pages and answer key points you think are vital and most serviceable and
useful for purchasing purposes. Examine one library supplier of software or hardware and describe it according
the following criteria:
Software and system
Opac Enquiry function
o Software design, screen display, logical operations, ease of movement, and variety and flexibility of search
options, Screen configurable for other users, Ability to create, sort, and print bibliographies
o Internet and in school/agency (Intranet connectivity)
Collection management
o Use of authority files, recording materials, including multimedia, editing records, and Marc facility
o Acquisitions and serial management, Circulation management, patron records, reservations ad stocktakes,
Quality of standards and statistical reports, on screen help and ease of use
Data Import/Export facilities
o Importing student data, SCIS data, scanned images, CD etc.
o Provide access to the OPAC via the internet and agency intranet and facility to access and download from
intranet and internet
Technical support offered
o Ease of installation, migration from existing systems, Availability of technical support (metropolitan, rural and
remote locals), Warranty and training available, Existence of active user groups and their distribution
System administration
o Security, data back up and restore procedures, end of day processing
Other incidental costs:
Annual license fees, site wide licenses, modularised systems, installation fees, fees per server and workstation, on a
price that varies according to the number of bibliographical records. If available, many times the cost of systems is
confidential.
Technical configuration
o Minimum hardware configuration, operating system, special relational databases management system
required, network type, technology platform required to run a particular system
Multimedia connectivity
o Systems able to access the Internet, intranet, other libraries, CD/DVD or online video, databases, etc.
Standard or option extras.
Standards of support
o Users experience with custom support, Availability of prompt, adequate, appropriate support
o Usefulness of responses, inappropriate, or inadequate or did not fix issues with existing clients.
Reliability of software
o Stability of operating system, people prefer less functionality compared to stability
Usability
o Ease of use for patrons, Processes logical, intuitive, Usability for staff time required to enter data, Use of
master/authority files

much it costs, training and support, licensing and support.
