Task 1
Case Study: Willow Brook School
Willowbrook School is a small private school that has retained your services as a systems analyst
to assist in the development of a new information system for the school’s administrative needs.
After an initial conversation with Victoria and Kathy, the school’s administrators, they have
decided that pursuing the possibility of an information system is a good idea. Michelle, the
administrative assistant, in particular is feeling the strain of the increased workload associated
with the rapid growth in the student population. The system that she has been using, of
spreadsheets and word processing documents, worked well when enrollments were smaller, but
now the amount of time spent copying information from one place to another is daunting, and
the possibility of errors is increasing. An information system is necessary to cope with the growing
administrative workload.The school management is now proposing to Outsource the School
administrative process to PWC and Co. PWC and Co have been in the field of administration
system for years and has expertise in doing administrative activities for schools and colleges.PWC
and Co were recently in news for the wrong reasons where in one of their employees sold
confidential data about a college to another college and thus favoring a potential tender. PWC
and Co has however updated their due diligence and security standards post the incident and are
slowly gaining back customer confidence. Will brook school being a small private school is looking
to expand and develop into one of the niche school with a unique selling proposition of having
few number of students per class. Use of technology and providing IPADS to students andeliminate the need of notebooks. With these ideas in mind it is a tough decision for Willow brook
to decide whether to outsource the admin tasks or keep doing them in house and spend on
training, maintenance and support and documentation and archiving of information.
After your meeting you developed a business profile, organization model, business process
model, and began to identify information and processes for Willowbrook School’s new
information system.
Based on your initial conversation and the work that you prepared, you begin planning to conduct
a preliminary investigation. You call Victoria and discuss with her the strategic plan for the school
including its mission and vision. You explain to her that planning IT systems and projects requires
a similar approach to strategic planning as the school likely took when it initially created its
mission, vision, and strategic plan. She begins to ask you questions about the next steps for
developing the information system. You tell Victoria that you will put together a memo for
detailing the need for strategic planning and describing the stages of preliminary systems
investigations.
Q1. Write a business case outlining Background, current situation, problem, benefits, risks for
doing this project and risks of not doing this project to Victoria detailing the need for an
integrated information system.
Q2. Conduct a SWOT analysis on Willow brooks proposal to outsource the administrative
process to PWC and co.
Task 3
Sandia Medical Devices (SMD) – Running Case study
Medical monitoring technology has advanced significantly in the last decade. Monitoring that
once required a visit to a health-care facility can now be performed by devices located in a
patient’s home, or carried or worn at all times. Examples include measures of glucose level (blood
sugar), pulse, blood pressure, and electrocardiogram (EKG). Measurements can be transmitted
via telephone, Internet connection, and wireless data transmission standards, such as Bluetooth.
A particularly powerful technology combination is a wearable device that records data
periodically or continuously and transmits it via Bluetooth to a cell phone app. The cell phone app
can inform the patient of problems and can automatically transmit data and alerts to a central
monitoring.Health-care providers and patients incur significant costs when glucose levels are not maintained
within acceptable tolerances. Short-term episodes of very high or very low glucose often result in
expensive visits to urgent care clinics or hospitals. In addition, patients with frequent but less
severe episodes of high or low glucose are more susceptible to such expensive, long-term
complications as vision, circulatory, and kidney problems.
Sandia Medical Devices (SMD), an Albuquerque manufacturer of portable and wearable medical
monitoring devices, has developed a glucose monitor embedded in a wristband. The device is
powered by body heat and senses glucose levels from minute quantities of perspiration. SMD is
developing the Real-Time Glucose Monitoring (RTGM) device in partnership with New Mexico
Health Systems (NMHS), a comprehensive health delivery service with patients throughout New
Mexico.
SMD will develop the initial prototype software for smartphones with Bluetooth capability
running the Google Android operating system. If successful, NMHS and its patients will have free
use of the software and SMD will resell the software to other health systems worldwide.
Sandia Medical Devices (SMD) and New Mexico Health Systems (NMHS) are
developing the system jointly. Project staff will include analysts, designers, and
programmers from both organizations. Three technical staff members from each
organization have been assigned initially, and the budget includes sufficient funds
to add other personnel for short-term assignments as needed. In addition, NMHS
will assign a physician and a physician’s assistant to the project one day per week.
It is anticipated that SMD personnel assigned to the project will work primarily at
NMHS facilities in office space and with computer equipment dedicated to
developing the Real-Time Glucose Monitoring (RTGM) system.
NMHS anticipates recruiting a handful of its own diabetic employees to provide
requirements and to test the prototype RTGM software.
SMD and NMHS anticipate a six-month development schedule for an initialversion of the server software and Android-based client-side software. That will
be followed by a three-month period for evaluation and another three-month
period for development of improved software versions and support for a wider
range of mobile phone operating systems.
The Real-Time Glucose Monitoring (RTGM) software on the client (patient) side
apart from tracking glucose level and alerting physicians will have the following
features
1.The ability for the patient to view alerts received on the phone and also respond
back to the alerts received from the physicians.
2. Enables the patient to view historical data pertaining to glucose levels and alert
sent and received by the patient along with annotations/ detailed description of
glucose levels.
3. Provides a messaging platform for the patient to interact with the physician by
sending and receiving messages with the ability of voice control to read out
messages.
The Real-Time Glucose Monitoring (RTGM) software on the client (patient) side apart
from tracking glucose level and alerting physicians will have the following features
1.The ability for the physician to view alerts received on the phone and also respond back
to the alerts received from the patient.
2. Enables the physician to set alert conditions to send alerts automatically to the
patients. Example – Have a rule setting to send low glucose level alert if glucose level falls
to 65 mg/dl.
3. Provides a messaging platform for the patient to interact with the physician by sendingand receiving messages along with the ability of voice control to read out messages.
Q1. Conduct a SWOT analysis on SANDIA medical devices and determine if they should go
ahead with the implementation of RTGM device.
Q2. Based on identified requirements in workshop 2 question 1, conduct a feasibility analysis
on operational and technical feasibility.
Q3. List the risks of doing the project and risks of not doing the doing the project.
Task 3: Case Study: Way Out Bikes
The owner of Way Out Bikes asked you for advice about acquiring an information system for
her business. The company specializes in helping customers select exactly the right bicycle for
their needs and lifestyles. Way Out cannot compete on price with mass merchandisers, but it
seeks to offer value and expertise for which customers are willing to pay. You ask the owner
whether she has long-range plans for the company, and she replies that she has not really
thought beyond a one-year time frame.
Q1. Develop questions to ask Way Out’s owner to help her conduct a SWOT analysis.
Q2. How could a mission statement help Way Out?
Q3. What are the critical success factors for Way Out?
Q4 What questions would you ask the owner to help her develop a business case for an
information system?

Refer to page 82 of the prescribed textbook (SAD by Rosenblatt 10th edition), read Continuing
Case: Personal Trainer Inc. and attempt tasks 1 to 4 listed as Q 1 to 4 below
Q1. Review the fact statements in Chapter 1, and perform Internet research to find out as much
as you can about fitness center operations. Using this background, conduct a SWOT analysis
with at least three entries in each area.
Q2. Does the proposed system present a strong business case? Why or why not?
Q3. What fact-finding techniques should Susan and Gray consider during the preliminary
investigation? Also develop a list of questions they should include in an employee survey.
Q4. For each type of feasibility, suggest two questions that will help Susan reach adetermination.
Task 2:
Refer to page 83 of the prescribed textbook ( SAD by Rosenblatt 10th edition), read Capstone
Case: New Century Wellness group as given below and attempt task 2 to 4 listed as Q 1, 2 and 3
below.
Q1. You are planning a preliminary investigation of Dr. Jones’s request. For each step, describe
the steps you will take, the methods you will use, and the information you will seek. Also
explain how you plan to define the project’s scope, and why this task is so important.
Q2. Based on what you know about New Century, conduct a feasibility study that includes
operational, technical, economic, and schedule feasibility. Describe the results in detail, and
explain how you reached your conclusions.
Q3. Prepare a brief preliminary investigation report for Dr. Jones. Before you begin this task,
you should review the sample report in this chapter, and visit Part A of the Systems Analyst’s
Toolkit, which provides suggestions for oral and written presentations.1
