Using the project charter in the previous task, prepare a fully integrated project plan which references each of the knowledge areas: scope, time, cost, quality, human resources, communications and risk management across the project life cycle. Ensure there are: planned mechanisms to monitor and control project variables the plan is authorised by a higher project authority (or at least your assessor) key requirements for each stage are detailed against client requirements and project objectives Short Answer Questions for Part B: Q1. Briefly describe the project management tools and techniques that you have used to develop the project management plan. Q2. Briefly describe the organisation’s environmental factors you have used to plan and deliver the project. Q3. How will the integrity of your project baselines to be maintained throughout the project life cycle? (and who was responsible for this work?) Q4. Describe how the triple constraint (scope, cost, time) is applied to your project and how you would provide your stakeholders with regular (status) updates in these areas.BSBPMG521– Student Assessment 12 Version 1.0 – November 2015 Southern Cross Education Institute Part C: Execute project in work environment / Manage project control Refer to the relevant scenario below (which is a continuation of task A & B) and complete the relevant questions and tasks. (**If you are referring to a project that you have previously completed, you may ignore the scenario and simply complete the required tasks). SCENARIO A – Highway Lights and Co. SCENARIO B – Crafty Clothes Pty Ltd. In an effort to achieve your project objectives, you and your team have been extremely busy gathering the necessary requirements and upgrading the traffic lights. In the past six months, your team has undertaken the following tasks: - met with various stakeholders to decide on the most suitable traffic light system and sequence - analysed the amount of labour hours required to coordinate the traffic light system - installed 22 sets of lights thus far - reported to VicRoads on possible Improvements relating to four road safety concerns - hired and trained two casual new road crew members to help install traffic lights Unfortunately, after installing traffic lights for three pedestrian crossing intersections, VicRoads has met with you and asked that you adjust the crossing system to include sound to help visually challenged pedestrians. Replacing the recently installed lights is estimated to cost your company $43,000 as well as setting the project back an extra week. Additionally, there is one intersection on the Napean Hwy that is considered to be a black-spot after numerous crashes and fatalities over the past few years. VicRoads has asked you to source warning signs for this intersection. After doing some research you have found that there are two warning sign options - one that will cost $25,000 to create, is guaranteed to last 30 years, and will take your team four days to install. The second option is a warning system that will cost $10,000 and is guaranteed to last 10 years, and will take your team two days to install. In an effort to achieve your project objectives, you and your team have been extremely busy gathering the necessary requirements for the E-commerce project. In the past six weeks, your team has undertaken the following tasks: - met with various website developers to decide on the most suitable platform and price - analysed the amount of labour hours required to run and maintain the website - spoken to your company’s bank regarding a payment system - discussed online advertising arrangement – which also includes search engine optimisation - attended a clothing conference and have come up with strategies for a new product line. Unfortunately, after deciding on a preferred payment system, your website developer has recently informed you that the particular payment system will not work on your online platform. You will need to either choose a new online platform or choose a new payment system. If you decide on replacing the payment system you will need to sign up with a new bank (and pay your current bank a $3,000 contract cancellation fee), but if you change the online platform, your web designer will have to spend another month re-designing the content that has already been created and will set back your expected completion date by almost three weeks (as well as paying the designer an extra $500). 1. Referring to the project issues in the case study outlined above, update your project by completing an issues log and change request form addressing the need to adjust your project (refer to Appendix 3 and 4). 2. Referring to the information outlined in the case study, what work performance data are you able to collect about the completion status of deliverables during this phase of the project? DescribeBSBPMG521– Student Assessment 13 Version 1.0 – November 2015 Southern Cross Education Institute one example of a review of the impact on late completion of a deliverable and how you managed its impact and implementation of any agreed changes? 3. Read the following scenario and outline the best way to handle the situation: Some of your project team members prefer to work independently. They may work remotely or in a different location from other project team members. Conflict has arisen when team members are not aware of what others are doing and are not communicating with one another. You have noticed this also has an impact your timelines and effectiveness on achieving key milestones. As project manager, what would you do to help improve communication and effectiveness as well as ensure that your staff feel part of the project team? 4. Develop some guidelines (simple policies/procedures) to ensure team members take responsibility for their own work and assist others to undertake required roles and responsibilities. To achieve this your team will need to: Create a set of guidelines (dot-points are acceptable) that would support team members to complete their work or achieve project goals You should also create guidelines on how team members can assist others to complete their tasksBSBPMG521– Student Assessment 14 Version 1.0 – November 2015 Southern Cross Education Institute Part D: Post Implementation Review Continuing on from your great work in parts A-C, let us assume that you and your team members have completed the activities outlined in the project plans. The Project has been successfully completed (with some minor issues relating to stock control), and it is time for your team to provide a final report for management and relevant stakeholders. In your final report, you are required to outline: - the success/failures of the project against the project deliverables - whether you were able to meet scope, time, quality and cost requirements - any issues incurred - any financial, legal and contractual obligations that needed to be completed - lessons that you have learned and recommended improvements for future projects. For any sections which you may not have specific information for, it is expected that you will come up with your own information (it didn't have to actually occur, but you can predict specific outcomes). * Submit the final report to your assessor (client) for approval as per the specifications above. Ensure you keep a copy of all work submitted for your records.BSBPMG521– Student Assessment 15 Version 1.0 – November 2015 Southern Cross Education Institute Appendix 1 – Highway Lights and Co. SCENARIO Project Scenario The Nepean Highway in Melbourne is a road that stretches 95.1km and is the primary road route to central Melbourne from Melbourne's southern suburbs. It has been identified that some of the traffic lights on the Nepean Highway are playing up. For the safety of all road users, especially at night, the lights need to be checked and replaced if necessary. You are a Project Manager at ‘Highway Lights and Co.’, and have been tasked with managing this project. Project Duration: This project needs to be completed within one year. They also want minimal disruptions to traffic, especially during peak hours. Budget and Payments: You are asked to stay within your budget of $1.8 million dollars, but the Government has requested that total costs are minimised. This includes both physical and human resources. Payments will be based on total cost for the project. Milestone payments will be made for each stage completed Key Deliverables Upgrade the 59 sets traffic lights on the Nepean Highway within the next 12 months Upgraded traffic lights will meet stringent quality standards and not need to be upgraded for at least the next 10 years The traffic lights will have reduced failure rate compared to the existing lights Report (and if possible Improve) any other road safety concerns where possible. Communication Your trainer/assessor will assume the role of “Ms/Mr Orange” who is the director of road safety strategy at VicRoads (your client) and will be the key contact person that you will be communicating with. * For slightly more information regarding traffic lights, you can refer to the brochure located in the appendix as well as research the internetBSBPMG521– Student Assessment 16 Version 1.0 – November 2015 Southern Cross Education Institute Highway Lights and Co. Organisational ChartBSBPMG521– Student Assessment 17 Version 1.0 – November 2015 Southern Cross Education Institute Appendix 2 – Crafty Clothes Pty Ltd. SCENARIO Crafty Clothes Pty Ltd. Crafty Clothes, founded in 1980, is an Australian made manufacturer and distributor of allpurpose clothing and footwear. The company takes orders from retailers and supplies them with clothing products that have been manufactured to retailers’ specifications. These clothing products are then sold to consumers under the retailers’ various brands. Recently, Crafty Clothes has found its market share in decline due to the Australian dollar and increased overseas competition. In addition, labour costs are eating into profit margins. Trends in the Australian textile industry suggest that the company, although it is in a strong financial position now, will struggle to make a profit within two years. To ensure the continued existence of Crafty Clothes, the company has embarked on a bold new strategic direction: ● develop own brands and product range and sell direct to consumers ● leverage ecommerce opportunities to reduce distribution costs and increase profit margins. Company vision: In the next five years, Crafty Clothes will establish a range of innovative and exciting online clothing brands and help secure a future for Australian clothing manufacturing. Task Your team has been given the task of identifying an E-commerce opportunity for Crafty Clothes and developing a proposal to put to the board of directors. For example, your team could decide to propose setting up an online business in which customers design their own custom t-shirts. Your budget for setting up the E-commerce venture is $25,000. The Managing director at Crafty Clothes has mentioned that he would like the website to be up and selling clothes online within the next three months. Task requirements For your proposed E-commerce venture, your team will need to determine: ● Value proposition: What will you offer consumers? What product? What price? What quality? How will it benefit your customer? ● Who your target market is: What are the characteristics of the people who will buy your product? What do they need or desire? ● How you will gather necessary information for setting up the venture? ● Who you will consult or network with to benefit from others’ expertise? ● What steps you will need to take to set up the E-commerce venture, from website design, to ensuring a system for payment, to establishing an online presence through web search engines, etc. ● How you will determine the benefit to Crafty Clothes: What is the benefit? Reduced costs? Increased productivity? ● How you will determine cost. Your team consists of yourself and two other members from Crafty Clothes’ marketing department. Please Note: For additional information on setting up E-commerce opportunities and example case studies refer to
