The RACI chart is presented in the form of a responsibility matrix to show the responsibilities to the stakeholders involved in a project. RACI is an abbreviation of Responsibility, Accountable, Consult and Inform (Lutchman 2011). The RACI chart projects the tasks that are to be performed vertically and the personnel involved in the project horizontally. The RACI chart for the present project regarding the preparation of commercial for the online grocery delivery service of Wesfarmers Ltd has been provided below: Project: Wesfarmers Limited PROCEDURE Creation of a commercial for revamped platform of Wesfarmers UPDATED 1/4/2017 STEPS TASKS SPONSOR PROJECT MANAGER COMPANY’S HEAD BUDGET CONSULTANT SCRIPT WRITER VIDEO SHOOTER/EDITOR 1 Creation of project charter 1.1 Conducting discussion to cover all possible areas R/A C I I I 1.2 Creating a draft proposal A R I C 2 Approval of the project charter 2.2 Placing the draft charter with company’s head and gaining approval A R C 2.2 Meeting with sponsor and final approval A R C 3.0 Budgeting and its approval I/A R 3.1 Collecting information to form the budget(funds available) C A/R 3.2 Ascertaining the cost (preparing the budget) C/I A/R 3.3 Acquiring the approval of the budget from project manager, company’s head and sponsor I I I A/R 4 Script writing 4.1 Appointing the script writer R/A C/I 4.2 Preparing the draft script C I R/A 4. The process of project scheduling performs the function of detection of the various tasks and activities associated with a project and decide their sequence of commission. The scheduling of the present project has been done by considering the application of two different approaches, namely, Gantt chart and Activity on Node (Demeulemeester&Herroelen 2002). Activity on Node: It is the project schedule that is presented in the form of a network diagram. The network diagram helps in arranging and highlighting the activities, involved in a particular project and establishes the linkage between the activities to determine the way the activities should be completed (Hutchings 2004). The network diagram of the activities relating to the present project, their sequences and critical path has been projected below: Activity Predecessor Duration 1 - 5 1.1 1 2 1.2 1.1,1 3 2 1.1,1.2 4 2.1 1.2 2 2.2 2.1 2 3 2.2 8 3.1 2.2 2 3.2 3.1 4 3.3 3.2 2 4 3.3 4 4.1 3.3 1 4.2 4.1 1 4.3 4.1 2 5 4.3 5 5.1 4.3 1 5.2 5.1 1 5.3 5.1,5.2 2 5.4 5.3 1 6 5.4 3 6.1 5.4 1 6.2 6.1 1 6.3 6.1,6.2 1 7 6.3 1 Gantt chart: The Gantt chart is considered as a tool that helps in providing information relating to the allocation of resources in the form of diagrams and moreover, it also helps in conduct project scheduling (Hutchings 2004). For the present project there have been seven tasks, which are considered as milestones and the same is divided in certain sub-tasks. The Gantt chart for the present project has been provided below: Budget A budget is considered as a statement, which is prepared to estimate the future cost and revenue. This approach helps in assessing the gap between the financial performances as budgeted with the actual performance and thus helps in establishing control. For a project, it will be necessary to construct an appropriate budget for ascertaining the costs of the project (Penning 2012). This process also helps in facilitating the effective allocation of resources in a project. In order to maintain a control upon the costs associated with a project, it will be essential to ascertain the costs of the project (Bakewell 2012). Development of a budget for the present project will also help the project manager in ascertaining the future needs relating to financial resources and on the basis of that appropriate strategies can also be formed. The budget for the present project has been provided below: Task Name Duration Start Finish Cost Work Duration Creation of project charter 5 day Sat 1/4/17 wed 5/4/17 $2,000.00 40 hrs 5 days Conducting discussion to cover all possible areas 2 day Sat 1/4/17 Sun 2/417 $1,500.00 16 hrs 2 days Creating a draft proposal 3 day mon 3/4/17 wed 5/4/17 $500.00 24 hrs 3 days Approval of the project charter 4day thur 6/4/17 Sun 9/4/17 $800.00 32 hrs 5 days Placing the draft charter with company’s head and gaining approval 2 day thur 6/4/17 fri 7/4/17 $400.00 16 hrs 2 days Meeting with sponsor and final approval 2 days sat 8/4/17 sun 9/4/17 $400.00 16 hrs 2 days Budgeting and its approval 8 days Mon 10/4/17 Mon 17/4/17 $2,000.00 64 hrs 8 days Collecting information to form the budget(funds available) 2 days Mon 10/4/17 Tue 11/4/17 $1,000.00 16 hrs 2 days Ascertaining the cost (preparing the budget) 4 days wed 12/4/17 Sat 15/4/17 $500.00 32 hrs 4 days Acquiring the approval of the budget from project manager, company’s head and sponsor 2 days Sun 16/4/17 Mon 17/4/17 $500.00 16 hrs 2 days Script writing 4 days Tues 18/4/17 Fri 21/4/17 $1000 32 hrs 4 days Appointing the script writer 1 day Tues 18/4/17 Tues 18/4/17 $2,00 8 hrs 1 day Preparing the draft script 1 day Wed 19/4/17 Wed 19/4/17 $600 8 hrs 1 day Reviewing and finalising the script 2 days Thus 20/4/17 Fri 21/4/17 $200 16 hrs 2 days Video shooting and finalising 5days Sat 22/4/17 wed 26/4/17 $5000 40 hrs 5 days Acquiring the required equipment 1 day Sat 22/4/17 Sat 22/4/17 $2500 8 hrs 1 day Appointing technicians and camera men 1 day Sun 23/4/17 Sun 23/4/17 $500 8 hrs 1 day Shooting of video 2 days Mon 24/4/17 Tues 25/4/17 $1000 16 hrs 2 days Editing and finalising the video 1 day Wed 26/4/17 Wed 26/4/17 $1,000.00 8 hrs 1 day Approval of the video 3 days Thus 27/4/17 Thus 29/4/17 $3,000.00 24 hrs 3 days Placing the video with the project manager, company’s head and sponsor for approval 1 day Thus 27/4/17 Thus 27/4/17 $1,000.00 8 hrs 1 day Editing the video for correction of mistakes 1 day Fri 28/4/17 Fri 28/4/17 $1,000.00 8 hrs 1 day Gaining the final approval of the video 1 day Sat 29/4/17 Sat 29/4/17 $1,000.00 8 hrs 1 day Releasing the final advertisement 1 day Sun 30/4/17 Sun 30/4/17 $2,000.00 8 hrs 1 day Progress reporting Progress reporting can be considered as process that facilitates the coordination of the necessary phases of a project. The completion of different stages of the project is required to be documented in a proper manner. Each stage or task associated with the project is required to have a certain starting and ending date (Maylor2010). The progress report must also depict the criteria of acceptance for the stakeholders and the same will set the quality limits of the tasks involved in the project. Risk can arise at any point, during the life cycle of a project, hence, it is vital to identify the risk factors and take appropriate initiatives to mitigate the same (Jordão& Sousa 2010). The process of risk management involves various functions to be conducted, such as, identification of the risk factors, the impact of risk and its probability of occurrence and also to frame appropriate policies to mitigate such risk (Krause 2006). There will be appropriate person, who will be responsible for the risk. The risk management plan for the present project has been provided below: Risk Event Risk category Impact of Risk Occurrence Probability of Occurrence (0-10) Severity of Impact (0-10) Risk No. (0-100) Risk Owner Risk Response Gap in communication found between sponsor, project manager and other associates. Operational risk Issues and difficulties in timely implementation of project 2 8 25 Project Manager and project Sponsor An appropriate plan for establishing an efficient communication channel should be made ands each and everyone, associated with the project will be connected with the same. Issues in budgeting process, resulting in enhancement of cost over and above the budgeted cost. Financial risk This can increase the overall cost of the project and affect its efficiency. Moreover, the same will also create issues between stakeholders of the project and the Project Sponsor. 4 10 18 Project Manager and project Sponsor In order to control the issues relating to imbalance of budgeted cost, appropriate plan for conducting strict monitoring process at regular intervals should be formulated. There must be a buffer developed for the purpose of absorbing the additional expenditure. Failure of the advertisement to connect with target customers. Efficiency risk Failure of the advertisement to connect with the target customers will affect the ability of the project to meet the objectives. This will have deeper impact upon the efficiency of the entire project. 3 10 12 Project Manager In order to mitigate the risk a contingency plan must be in place with an additional theme that will be kept for the purpose of use in case of adverse situations. Accidents taking place during the process of shooting the video Technical risk Decline in the provision of quality video for advertisement, decrease the efficiency of the project and delay the process of implementation. 2 8 8 Project Manager The entire process of shooting the video must be scrutinized, before hand and closely monitored in order to avoid any form of accidents. Moreover, necessary arrangements must be in place to avert the risk of causation of accidents. Increase in the length of the time of the commercial. Operational Risk This will decrease the effectiveness of the project and the quality of deliverable. This will decrease the efficiency of the project to meet the objectives. 2 7 28 Project Manager Effective plan should be in place to constantly monitoring the time and quality of the commercial and to take appropriate actions to ensure that the commercial comply with the time of its completion. Issues in printing of essential documents Operational risk This will reduce the quality of deliverables of the project. This will affect the timely completion of the project. 1 7 32 Project Manager The process of printing should be monitored constantly and necessary arrangements must be kept in place in order to avoid the risk of the issues relating to printing of essential documents. Issues in approval Operational Risk This will delay the timely completion of the project. 1 8 15 Project Manager The approval of the project sponsor must be communicated to all the stakeholders. Change management As the name suggests, change management is considered as a process through which, the changes that have taken place in the processes of an organization can be managed and controlled. This process attempts to transform the activities carried out in an organization to facilitate change in the matters concerning the utilization of resources, allocation of budget or even the plans prepared for different activities to be conducted by the organization (Czichos2014). Considering the present project, there can be requests for change in the scope of project and in that situation, certain activities will be conducted to manage such change, those have been stated below: Change Request Form (CRF) Project name: Contact no: Project manager: Date: Attachments if any: Y N Present situation: Proposed change: Explaination for change: Cost impact after change: Impact level: Explaination: H L M Timing impact after change: : Impact level: Explaination: H L M Quality impact after change: : Impact level: Explaination: H L M Scope impact after change: : Impact level: Explaination: H L M Other impact (if any): : Impact level: Explaination: H L M Disposition : Approved Disapproved Signatures: 1.--------------------------------------------------- 2.---------------------------------------------------- 3.---------------------------------------------------- 4.-------------------------------------------------- Communicating with stakeholders It is the final phase of the change management process, where the top management of the project will take all the required initiatives to communicate the decisions taken by the management towards implementation of the change, as requested to such, stakeholder, requesting for the implementation of the change (Blaber, 2004). It will be beneficial and can be referred in the future. The experiences gathered from a project are required to be documented in a proper manner, after its closure, so that the knowledge can be applied in similar projects conducted in future (Baguley, 2008). Schedule • Proper implementation of work breakdown structure helps in successful completion of project ensuring accuracy as well. Utilizing time and money: • As a project manager for this project, one of the plus points was ample availability of time as the workers were willing to work on weekends as well, this made the smooth and efficient working of the project with workers. The last and most important lesson learned from this project is that if every stage is coordinated systematically like WBS,Communication plan ,Risk management etc.) then there will be no scope of confusion , every individual will be aware of his/her responsibilities ,will coordinate & work accordingly leaving no or little scope of error thereby leading to successful completion of project. Post project: It is the reward given to the members by project manager after the successful completion of project(kloppenborg 2015,pg430). The project successfully satisfies the stakeholder expectation and all the hard work has been paid off. So, celebrating the success will be recognition and appreciation for all the team members involved in this project. This team will be working in the next project as well and the experience gained will be helpful in not repeating the mistakes in next project.
