Overview This document explains the basic functionally of the eStage system that each role has access to as well as the specialist functions particular roles have. This instruction should be referred to first before contacting the administrator for assistance in completing a particular task. 1.2. Acronyms Used TERM DEFINITION RSSS Royal South Street SocietyeStage User Documentation Page 5 of 25 3.0 Using eStage Application 3.1 Login When you start the eStage application, using your internet web browser, the login screen is displayed. Six different roles with different types of access can be selected from the drop down box, similar to the one shown below. Figure 2 shows the available roles in the eStage. Clicking the ‘Sign In’ button will login to eStage with the selected role. In the case of the role selected being ‘Administrator’,(see Figure 3 below),a password prompt will appear. The administrator role is password protected because it has access to every part of the system. Using the correct administrator password, the eStage system will allow successful login and the use of the system. However, none of the rest of the roles required a password to login. Figure 1 Figure 2eStage User Documentation Page 6 of 25 Each role is configured by the administrator, to assist you in performing your role for the day. When you login into the eStage application the welcome screen opens (see figure 4). Each role will be directed to this page once login is complete, different roles will have different links available, this section will give a general layout and links that every role will have access to. The home page (below) is split up into 3 different sections as follows: Top Menu Bar, Right Menu Bar and the Main content section. Each section will be explained below. At the top left of the screen the user is presented with the following options (see Figure 5) Figure 3 Figure 4eStage User Documentation Page 7 of 25 Home Directs the user back to home page Logoff Logs off the current user and directs them back to the login screen Competitors Directs user to the listing of competitors page Disciplines Directs user to the listing of discipline page Sections Directs user to the listing of sections page At the top right of the screen the user is presented with the following options (see figure 6) Role This will display the current role of the user that is logged in (in this example the stage manager is logged in). The role can be changed by hovering the mouse over the current role and selecting a new role from the menu that appears. Administrator role will not be accessible from here as a password is required for login. Location This will display the location in which the events are being held (in this example the location is Her Majesties Theatre), this can be changed by simply hovering the curser over the location and selecting an alternate location Event This will display the current event (in this example the event is RSSS 121st Eisteddfod) Past events can be selected by simply hovering the mouse over the event and selecting a previous event from the drop down list Figure 5 Figure 6eStage User Documentation Page 8 of 25 3.1.1 Page Menu The page menu, shown on the right of the screen, shows the current time, and options that the user has for administration, and a list of “today’s” sections, for the current location and event. Information that is provided in the table includes the estimated time the section is due to start, the section number and the section name. You can view a section in more detail by clicking on it from within table, for more information about the section details please refer to section 3.5 Sections For an explanation of the top icons that appear in the main content section please refer to section 4.0. Figure 8 Figure 9eStage User Documentation Page 10 of 25 3.2 Competitors Selecting the competitors link from either the top menu bar or from the link on the right hand bar directs the user to the competitor’s page (see Figure 10). This page contains a listing of all users sorted by surname. To view a list of competitors with a surname starting with B for example Mr Bean, click on letter B as below. To view a competitor’s details, click on the competitor of your interest. The competitor details such as location, age etc will be displayed as shown in figure 12. Section(s) in which the competitor is registered to is/are listed below the competitor details. Figure 11eStage User Documentation Page 12 of 25 3.3 Disciplines The discipline link directs a user to a list of disciplines available for the current event and location. Discipline details are accessed by clicking on a discipline of one’s choice Figure 13 shows a list of available disciplines. Upon clicking on a discipline, a list of sections associated with the discipline is displayed with links to respective section details. Refer to section 3.5 for more details on sections. 3.4 Sections Figure 12 Figure 13eStage User Documentation Page 13 of 25 A list of sections is obtainable on clicking on either the section link in the right hand bar or the top left menu. This displays all available section within a chosen event. There will only be 25 sections displayed per page. To view more details on a particular section you must select the section, details such as the date, time age limit of that section will be displayed as shown below as well as competitors that are competing in that section. For more information about registration please refer to section 5.1. 3.5 Logoff Figure 14 Figure 15eStage User Documentation Page 14 of 25 To log off from the eStage application click on the logoff button that appears at the top left of the screen as shown below (Figure 17) Figure 16eStage User Documentation Page 15 of 25 4.0 General Options 4.1 New On in either the competitors, sections or disciplines page, a “New” new button will be available to allow user to add a new competitor, section or disciplines. Below is the button to be selected for this the task. The application will load a form for the user to fill in, each form will have unique data to be filled in, examples of the forms are shown below: Figure 17 - New Competitor FormeStage User Documentation Page 16 of 25 Clicking the save button will create the new competitor, section or discipline. But upon clicking the ‘cancel’ button, the application is then going to load the home page instead. 4.2 Edit The Edit option is available in all view pages; this includes competitor, section and discipline view pages. The edit function allows the user to update or change data relating to that particular type. Editing the competitor, section or discipline can be performed by first selecting the edit button. This will direct the user to edit mode and simply allows the user to update existing details, examples are as below. Figure 18 - New Discipline FormeStage User Documentation Page 17 of 25 By updating the appropriate fields and selecting the save button, the edit process is expected to be completed. However of clicking ‘cancel’ button, the user will be send back to the home. 4.3 Print Each page will have a print function and can be accessed by selecting the print icon Figure 20 - Edit Discipline Form Figure 19 - Edit Discipline FormeStage User Documentation Page 18 of 25 By updated the appropriate fields and selecting the save button completed the edit function. If the cancel button is selected the user will be redirected back to the home page. 4.4 Print Where printing may be required, a print friendly option will be available to allow for printouts to be formatted correctly. If a page has a print friendly option, you will see the print icon, shown below: Pressing the print button will open a new window, with a PDF document. This can be discarded or printed as required. Figure 21eStage User Documentation Page 19 of 25 Printer friendly format: 4.5 Help The help button can be found on each page and will allow the user to get help on the page they are currently viewing. To access help, just click on the help button similar one shown below. This will show help for that functions on that page as shown below:eStage User Documentation Page 20 of 25 Figure 22eStage User Documentation Page 21 of 25 5.0 Specific Role Options 5.1 Registration 5.1.1 Registering a competitor To perform the competitor registration function you must be logged in as the registration role. On the section view page a table similar to the one below will be displayed. To register a competitor, click on the register link. This will direct you to the registration data page as shown below: Figure 24 Figure 23eStage User Documentation Page 22 of 25 Enter the registration data for that particular competitor. Ensure that the registered check box is selected, then click the save button to complete registration. 5.1.2 Bulk Registration Login as registration role, and click on the competitor’s link. Select the name of the competitor/school you want to bulk register. On the competitor view page select the register day link, and then click the edit button to register. To complete the bulk registration select all the sections “registered”check boxes and click the save button to finalise the bulk registration. 5.2 Stage Manager Figure 25eStage User Documentation Page 23 of 25 5.2.1 Moving a competitor between sections To perform the move competitor between sections you must be logged on as a Stage Manager role. Click on the move link to be directed to the move competitor page. Select the new section the competitor need to be moved to as shown below. Then click the update button to complete moving the competitor. 5.2.2 Withdrawing a competitor To perform the withdraw competitor function you must be logged on as a Stage Manager role. Click on the withdraw link to remove a competitor from a section. The competitor will have a line strike through meaning they are no longer competing in that section. Figure 26eStage User Documentation Page 24 of 25 5.2.3 Changing the sequence of competitors At times a competitor may want to perform earlier or later. In order to change the order of competitors performing click on either the up or down link accordingly. Figure 22 and 23 above shows sequence change in action. 5.3 Adjudicator The Adjudicator role is not permitted to see competitor names, but has the same functionality as chairman. Figure 29 - after changing sequences Figure 28 - before changing sequence Figure 27eStage User Documentation Page 25 of 25 5.4 Chairperson 5.4.1 Entering results The chair person has access to enter and edit competitor’s results as well as print the chairperson’s book. A competitor’s results can be entered by clicking on the results icon below. On the following screen click the edit button, this will direct the chairperson to the results page where they can enter the results of competitors that have competed as shown below. Once the data has been entered click the save button to complete the result process. The chairperson book can be generated after the results have been entered by clicking the print button while on the results page. Figure 30
