The second assignment will consist of two parts 1) a business report and 2) an oral presentation to the group.
The assignment will be completed in groups that are allocated in class. Each group will have a different
underlying focus such as a "High-end, Medium, Low-end" solution. You will be competing against each group
to sell your (the best) solution to the board. Your budget will also be allocated from the following:
Budget Ranges:
Low-end solution: up to $120k
Medium solution: $120k – 240k
High-end solution: $240k - $440k
Part 1 – Business Report
You are responsible for the direction of strategic procurement within a large organisation that is made up of
multiple research groups. Your organisation's board has asked you to investigate the upgrade of a facility that
requires physical hardware procurement and potentially outsourced or cloud services to provide a better
solution and service for the organisation while providing scalable options for future expansions. You have
been tasked with putting together the business case and presentation for either recommending outsourcing
services, software and hardware or to keep strategic procurement competency within the organisation (or a
combination of both).
The organization has approximately 3000 employees and is broken up into product development and research
teams. One of the research divisions developed a facility (called the Advanced Visualization Laboratory) to
support their research efforts. The team has 20 members all of which use the facility for projects that involve
external partners. The group have decided it is time to upgrade the components with either internally managed
hardware or outsourced / cloud services. A list of the existing system components is provided along with a
structural diagram to assist understanding the existing setup:
- 40 x Data Projectors (1280 x 800)

- 1 x 100Tb Storage array for data
- 1 x Matrix switch (allows any server to output its video signal to any projector)
- 40 x Extron Units (Transmit video data over Ethernet)

Future Considerations
You should spend some time evaluating how the system may expand in the future and make recommendations
to the board. Some attributes you might consider are:
- Using the facility as a service that may lead to deploying the facility at new locations.

Report Structure:
The business report should be 3000 words in size (excluding title page, table of contents, executive summary,
any attachments or appendices, reference listing or if noted below). In your case you will need to explain or
discuss at least each of the following headings in your analysis:
• Product Selection (Replacement hardware and outsourced selection options)
• Future Expansion (Scalable, re-creatable etc.)
• Vendor Evaluation and Selection (Process you would follow in sourcing and evaluating the
appropriate vendors)
• Contract Conditions (Any specific inclusions in the contract for outsourced or cloud type services, exit
conditions etc.)
• Maintenance
• Costing (A clear break up of significant components in table format)
Ensure that your business report contains at least the following headings:
1. Title page
2. Table of Contents
3. Executive summary (Include bullet pointed recommendations)
4. Introduction and background (This should be very brief)
5. Main body of analysis (Product Selection, Future Expansions, Vendor Selection, Vendor Evaluation,
Contract Conditions, Maintenance, etc.)
6. Conclusion (Should include recommendations)
7. Reference list (not included in word count)
8. Appendix (not included in word count)
Formatting:
All papers must follow the following formatting style guides:
• A4 sized paper;
• Arial font;
• Font size 10 – For main text body and TOC
• Font size 14 – For headings
• Single line spacing and one line between paragraphs.
This assignment is a business report directed towards the board for review. Ensure that the paper discusses and
explains the concepts with supporting evidence. It is also expected to include 6-8 references and can come from
varied sources. The Harvard referencing system must be used.
Part 2 - Presentation
Your presentation should sell your recommendations to the CEO. Each member of your group is required to
present. Your group will be strictly limited to 15 minutes as the board is extremely busy and will stop the
presentation if it goes overtime (and you will be assessed accordingly). You will be assessed on your clarity of
message and ability to convince the board with your recommendation. Presentations will be in weeks 9, 10, and
12 (dependent on student numbers – see course webpage for final schedule). All group members should
participate in the presentation.
Please prepare Power point slides for your presentation and include them with the report submission.
External Students: Please record an audio presentation and submit with your report and PowerPoint slides
(Identify when to swap slides in the audio presentation).
Submission Details:
All assignments must use an Assignment cover sheet that is available either from your Course homepage of the
myUniSA portal.
Due Date:
15th May 2016 at 11pm (Extension applied to original due date)
Assessment Feedback:
Feedback on assignments will be provided two to three weeks after submission. Feedback will be available
through the course webpage using the gradebook system.
