ARAX SERVICES- BOOKING SYSTEM UPGRADE Project: ARAX is one of the leading service providers in plumbing and electrical repair works across Auckland. ARAX is providing services for last Five years. Initially ARAX started with handful of employees and couple of clients which grew so rapidly to accumulate more than 120 households and now providing employment for more than 30 individuals including 15 different skilled plumbers and electricians. In current scenario they are processing around 60 orders per day. In order to manage all the customer order, employee roster, job and site assignment they are using a manual system. Customers need to call the reception and make the orders which then forwarded or assigned to technicians manually, and technicians also keep their job status report in manual way, which reduce the staff efficiency, delay in job completion and customer service. Objectives: Upgrade manual system of job registration and duty assignment. Upgrade the existing website to include online orders. Customer could track their job status. Easy job assignment through website. Field staffs update their job status through smart devices provided by ARAX. Goal: Our Goal is to manage the upgrade of their existing systems: includes evaluating and providing smart devices to field staffs, providing technical training to field staffs and office staffs. Project Budget: $50,000 Project Timeframe: Client Meeting: 22nd April, 2017 Modification of website: 23rd April, 2017 - 5th May, 2017 Smart Device evaluation: 7th May, 2017 - 15th May, 2017 Device Configuration: 16th May, 2017 - 19th May, 2017 Testing of New System: 21st May 2017 – 31st May 2017 Training employees and management: 1st June 2017 – 10th June 2017 Handover and final sign off: 11th June 2017 – 20th June 2017 Project Scope: In Scope Develop or modify the website to enable customers to book orders online. Include online job order form Job status submission Job assignment for field staff. Evaluation of smart devices. Budget friendly devices User friendly UI Long battery life Documenting procedural changes. Prepare basic training material for staffs. Materials includes basic internet usage ARAX website navigation Accessing assigned jobs. Updating job status report. Track of timely deliverables. Track of immediate alternate solutions in case of emergency by Managers. Out Scope No procurement of devices, it is done by Client Not need to update/ change their current Invoicing system. We are not required to create user IDs for all the staff members. Public promotion Project Feasibility: Initially project seems feasible omitting the risk analyzed while budget distribution.
