You have been hired as a Business Analysis by Robyn the Builder who builds luxury homes in the Toowoomba region. Robyn’s core business process is to schedule and manage the many sub-contracted tradespeople such as excavator, concreter, brick-layer, plumber, tiler, electrician, plasterer, painter, carpenter and others. She needs to know that they will arrive at the building site on the right time to complete their work as per the project plan, the architect’s specifications, and the contract with the client. A delay by any of these sub-contractors can impact the overall project and put profitability at risk. At the moment she does this on a large whiteboard on the building site and updates it by contacting the sub-contractors by phone, SMS and email. She contacts them regularly to confirm when they are required to be on the building site. The whiteboard can be viewed on site by the architect, client and any of the sub-contractors. Robyn has asked you for help as her business has expanded and she increasingly finds herself managing more than one building project at a time. She finds it is no longer feasible to manage the subcontractors using a whiteboard at each building site as the same sub-contractors often operate across all sites. She would like each of the sub-contractors to be able to see when they are required at the different building sites and the time allocated to complete tasks; they would be able to propose changes on-line that can then be approved by Robyn and Robyn can have a complete view of schedules across multiple building sites. She would like the sub-contractors and others who are required to complete specific tasks to receive SMS reminders. It should also schedule times for the various inspections that are required by the regulatory authorities, and the architect and client should be able to see progress against project plan. The sub-contractors could post queries which could be responded to by Robyn or the architect.
